1. Acceptance of Terms

Welcome to DocProcessor ("we," "us," or "our"). DocProcessor is operated by a company incorporated under applicable laws. These Terms of Service ("Terms") govern your access to and use of our AI-powered document intelligence platform, including document extraction, entity linking, and contradiction detection services (the "Service"), available at https://docprocessor.com (the "Website").

By creating an account, subscribing to any plan, purchasing credits, or otherwise using the Service, you confirm that you: (a) are at least 18 years of age; (b) have read, understood, and agree to be bound by these Terms; (c) agree to our Privacy Policy; and (d) are authorized to enter into this agreement on behalf of yourself or any organization you represent.

Important: If you do not agree to these Terms, you may not use the Service. Continued use after any update constitutes acceptance of the revised Terms.

2. Description of Service

DocProcessor provides a multi-document intelligent processing platform that uses AI to extract, link, and analyze data across multiple documents. We support PDF, Excel (.xlsx, .csv), and Word (.docx) document formats.

The Service is a digital SaaS product delivered immediately upon account creation and payment confirmation. We reserve the right to modify, suspend, or discontinue the Service at any time with reasonable notice.

AI Model Disclosure: This Service uses third-party AI model providers, including but not limited to DeepSeek, for document extraction and entity recognition. The performance and availability of the Service may be affected by these providers' operational status.

AI Output Disclaimer: AI-generated content may contain errors, inaccuracies, or outdated information. You are responsible for reviewing and verifying output before relying on it. Do not use AI-generated content for legal, medical, financial, or other professional advice without consulting a qualified professional.

3. Account Registration

You must provide accurate, complete information when creating an account. You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account.

  • Notify us immediately at security@docprocessor.com of any unauthorized use
  • Do not share login credentials with any third party
  • Ensure your billing email address remains valid

If you are registering on behalf of a company or organization, you confirm that you are authorized to bind that entity to these Terms.

4. Subscription Plans (V1)

We offer subscription plans to access the Service. Current plan details and pricing are available at /pricing.

We reserve the right to modify plan features or introduce new plans at any time. Price changes follow Section 5.1.

5. Billing and Payment (V1)

5.1 Auto-Renewal Authorization: By providing a payment method and subscribing to a paid plan, you explicitly authorize DocProcessor to charge your payment method on a recurring basis for the corresponding subscription fee. This recurring authorization remains in effect until you cancel your subscription per Section 6.

Your subscription renews automatically at the end of each billing cycle unless cancelled. For annual subscriptions, we will send a renewal notice in advance.

5.2 Taxes: Unless otherwise stated, all prices exclude applicable taxes (including VAT, GST, sales tax, etc.). Where required by law, we will collect and remit the applicable taxes.

6. Cancellation Policy (V1)

6.1 How to Cancel: You may cancel your subscription at any time via:

  • Online (recommended): Account Settings → Subscription → Cancel Subscription
  • Email: Send a cancellation request from your registered email to cancel@docprocessor.com

Cancellation takes effect immediately. We will send a confirmation email within 10 minutes.

6.2 Effect of Cancellation:

  • Your subscription remains active until the end of the current billing cycle
  • No charges will be made in subsequent billing cycles
  • Account data will be retained for 90 days after cancellation, then deleted per our Privacy Policy

7. Refund Policy (V1)

7.1 General Policy: Due to the immediate delivery nature of our digital Service, subscription fees are generally non-refundable, except in the following circumstances.

7.2 Refundable Circumstances:

  • 7-Day Guarantee for New Subscribers: First-time subscribers may request a full refund within 7 days of their first charge, provided usage does not exceed 20% of the plan's monthly quota
  • Duplicate Charges: Full refund for charges resulting from billing errors
  • Verified Service Outage: Proportional refund or credit for service outages exceeding 72 hours caused by us
  • Legal Rights: Statutory withdrawal or refund rights (e.g., EU/UK 14-day cooling-off period) are preserved where applicable

7.3 How to Request a Refund: Send a refund request to refunds@docprocessor.com with your account email, transaction ID, and reason. We will confirm within 2 business days and process eligible refunds within 5–10 business days.

7.4 Non-Refundable Items:

  • Fees for subscription periods already used (except per Section 7.2)
  • Annual subscription refund requests made more than 30 days after initial purchase
  • Accounts closed due to violation of these Terms or the Acceptable Use Policy

8. Billing Disputes

If you believe a charge is incorrect, please contact us at billing@docprocessor.com before disputing with your bank. We commit to responding within 2 business days and resolving confirmed billing errors within 5 business days.

9. AI Content and Intellectual Property

9.1 Output Ownership: Subject to these Terms, AI content generated from your inputs ("Output Content") belongs to you. You may use Output Content for any lawful purpose permitted under Section 10.

9.2 Input License: By submitting content to the Service ("Input Content"), you grant DocProcessor a limited, non-exclusive license solely to provide the Service to you. We will not use your Input Content for AI model training without your explicit consent.

9.3 Third-Party AI Models: The Service uses third-party AI model providers, including DeepSeek. Output Content may be influenced by these providers' models. We do not guarantee specific output quality and are not responsible for content generated by third-party models.

9.4 AI Output Accuracy: AI-generated content may contain errors, inaccuracies, or outdated information. You are responsible for reviewing and verifying output before relying on it.

10. Acceptable Use Policy

10.1 Permitted Uses: You may only use the Service for lawful purposes consistent with these Terms.

10.2 Prohibited Uses: You agree not to use the Service to:

  • Generate illegal, defamatory, harassing, or fraudulent content
  • Generate, distribute, or assist in creating deepfake content, including AI-synthesized audio, video, or images that impersonate real individuals or mislead viewers about their source or authenticity
  • Generate content involving the sexualization of minors or content that violates child protection laws
  • Create malware, phishing content, or cyberattack tools
  • Infringe any third party's intellectual property or privacy rights
  • Bypass or interfere with the Service's security features
  • Resell or sublicense access to the Service without prior written approval
  • Violate any applicable law, regulation, or card network rules

10.3 AI-Specific Prohibitions: In addition to the above, given the AI nature of the Service, you agree not to:

  • Use the Service's inputs, outputs, model responses, or any derivative data to train, fine-tune, benchmark, distill, or otherwise develop any AI/ML model that directly or indirectly competes with DocProcessor or our products
  • Systematically crawl, extract, or collect model outputs for any purpose beyond your authorized personal use
  • In contexts where harm could result, present AI-generated content as the work of human professionals (e.g., licensed doctors, lawyers, or financial advisors)

11. Data, Privacy, and Security

Your use of the Service is governed by our Privacy Policy, available at /privacy. Payment card data is processed exclusively by our PCI-DSS-compliant payment processor (Waffo Pancake) and is not stored on our servers. Account data is retained for 90 days after cancellation, then deleted.

12. Disclaimer and Limitation of Liability

12.1 AS IS Disclaimer: The Service is provided "as is" and "as available" without any warranties, express or implied, including merchantability, fitness for a particular purpose, or AI output accuracy.

12.2 AI Content Disclaimer: ⚠️ AI-generated content may be inaccurate, incomplete, or outdated. Do not use it for legal, medical, financial, or other professional advice. Always verify with a qualified professional before acting on AI-generated content.

12.3 Liability Cap: To the maximum extent permitted by law, DocProcessor is not liable for any indirect, incidental, consequential, or punitive damages. Our total liability is limited to the amount you paid us in the 12 months preceding the claim.

13. Term and Termination

These Terms remain in effect for as long as you use the Service. We may suspend or terminate your account if you materially breach these Terms, engage in suspected fraud, or when required by law. If we terminate for reasons not attributable to your breach, we will prorate-refund any prepaid, unused portion. You may delete your account at any time by contacting support@docprocessor.com.

14. Governing Law and Dispute Resolution

These Terms are governed by applicable law. Before initiating formal proceedings, please contact legal@docprocessor.com to attempt informal resolution.

15. General Provisions

We may update these Terms at any time. Material changes will be communicated at least 14 days in advance via email. Continued use constitutes acceptance. If any provision is found invalid, the remaining provisions remain fully effective.
